Applied before?

Copy your previous documents

If you've submitted an Application before please Login with the same email address and password as last time. You can then copy documents into your new Application.

If a document link shows as 403 Forbidden, the document may have been loaded by Clearing House staff. You can only view document links that you load yourself.

Instead, download the Application pdf to view documents as the courses see them.  Courses do not use links on the Documents screen of your Application.

Check what your courses need

Once you have chosen your courses, they tell you what documents they need, on the Documents screen of your Application.

If you change your course choices you will need to check the Documents screen of your Application again.

It is your responsibility to:

  • provide the appropriate documents
  • upload them in the appropriate section
  • label them appropriately e.g. Document Type
  • make sure they are readable (see Check How Your Documents Look below)

Each course can only access the documents that it has requested, based on the Document Type.

The Clearing House do not check these documents as the requirements vary from person to person.

A document requested "if completed" does not mean that completing the qualification is a requirement for everyone: it only means that if you have already completed that qualification you need to provide a document for it.

Check how your documents look

See your documents the way the courses will see them:

  • download your Application pdf from the Overview or Review screens

If a document is missing, mis-loaded, mis-labelled, or unreadable in the Download Application pdf, you risk your Application being excluded by the course that needs that document.

Provide good quality documents

Things to avoid are:

  • Photos taken in poor light or at odd angles
  • Screenshots of e.g. emails with extremely small or extremely large text

Missing, blacked-out or blurred-out documents

This may be due to:

  • security features in the document, or
  • style features in the document e.g. watermarks etc, or
  • the file name has unusual characters e.g. & or % etc, or
  • too many pages in the document, etc.
Create a new version

You can usually solve the problem by creating and uploading a new version of the document:

  • check there is no security in the document e.g. it is not password protected, and
  • put the file through Print to PDF to simplify any style features, and
  • use a different file name, and
  • do not use any unusual characters in the file name, and
  • if the document is more than 10 pages long you may need to upload it as multiple files.

What is a transcript?

Some courses ask for a transcript for your university qualifications.

UK universities give this document different names, e.g.

  • Higher Education Achievement Report (HEAR), or
  • Diploma Supplement, or
  • Academic Transcript, etc.

All transcripts should include the following:

  • cover all the years of your course
  • list the modules you took and the marks you got
  • confirm you completed the qualification, with an overall result e.g. 2:1, pass with merit, percentage mark, etc
  • give the qualification title e.g. BSc in Psychology with Sociology
  • identify who took the course e.g. your name, date of birth, etc
  • identify the university where you studied e.g. university name and logo, authorising stamp and signature, etc

All transcripts should be official and final:

  • be issued by a member of staff at your university (in other words it should not be e.g. a screenshot you create yourself from your student account)
  • be the final document issued after all your results have been verified (not a document issued part-way through your study, unless your chosen courses specifically request this)

If your university cannot provide a transcript you need a letter from them confirming this. This usually comes from Central Student Records at your university.

Please contact your university as soon as possible to give them time to check their records.

Documents in other languages

You may need to provide a document in a language other than English e.g. a certificate or an academic transcript for an international qualification.

Please provide the document in the original language and an official translation of that document into English.
